About this policy

This page explains what personal information RedHat 3PL Services Inc. ("RedHat Prep", "we") collects, why we collect it, who we share it with and how long we keep it. It covers redhatprep.com and our dealings with people who contact us or become our clients.

When we prep, store or ship inventory for a client, we may handle personal information about that client's own customers, such as names and addresses on orders, returns and shipping labels. We handle that information only on the client's instructions and only to provide our services, under our service agreement with that client. Questions about that information should go to the client first.

What we collect and why

  • Your enquiry details: name, company, email, phone, sales channels, monthly order volume, services you want and your message. They come from you, through our contact form, email or phone. We use them to reply to you and prepare a quote.
  • How you found us: the page or link that brought you to the site (for example a search result or ad campaign) and the first page you visited. Our contact form records it when you submit the form. We use it to understand which of our marketing works.
  • Account, billing and shipment details: they come from you once you become a client. We use them to set up your account, provide our services, invoice you and keep business records.
  • Technical information: our hosting providers keep standard server logs, such as IP addresses, for security and troubleshooting.
  • How you use the site, if you accept analytics and advertising cookies: collected by Google tools through our cookie banner. We use it to measure site use and ad performance (see Cookies and analytics).

We collect only what we need for these purposes. If you choose not to give us some details, we may not be able to prepare an accurate quote.

Cookies and analytics

Analytics and advertising cookies are off until you choose Accept in our cookie banner. We use Google Tag Manager, Google Analytics and Google Ads to measure how people use the site and how our ads perform. Before you choose, and if you choose No thanks, our Google tools may still receive limited information about your visit, such as the page you viewed, your browser type and your approximate location. No analytics or advertising cookies are set, and we do not use that information to identify you.

  • If you choose No thanks: the site works the same, analytics and advertising cookies are not set, and only the limited information described above is received.
  • Necessary storage: we save your cookie choice in your browser so we do not ask again. This is always on and is not used for tracking.
  • Changing your mind: use the Cookie settings link at the bottom of any page to change or withdraw your choice at any time. You can also delete cookies in your browser settings.

Emails from us

We use your contact details to respond to your enquiry and, if you become a client, to run your account. We do not add you to marketing emails unless you agree to receive them. Every marketing email we send includes a way to unsubscribe.

Who sees your information

We do not sell your personal information. Our staff see what you send us, and only those who need it for their work.

We also use service providers who handle information for us under contract and only for the purposes we set:

  • website hosting and our contact form
  • email and business software
  • accounting and payment processing
  • shipping carriers and marketplace platforms, when we provide services to clients
  • Google analytics and advertising tools (full measurement with cookies only if you accept)
  • WhatsApp, if you choose to message us there: your phone number and messages are handled by WhatsApp under its own terms and may be stored outside Canada

We may also disclose personal information when the law requires it, or to a buyer or successor if our business is sold or reorganized. In that case, the information remains protected under this policy.

Storage outside Canada

Some of our service providers, including Google and our email and hosting providers, may store or process your information outside Canada, mainly in the United States. While it is there, it is subject to that country's laws, and authorities there may be able to access it. Before using a provider, we review how it protects personal information.

How we protect it

We use reasonable safeguards for the sensitivity of the information. These include access limited to staff who need it, password-protected accounts, and reputable service providers. No system is completely secure. If a breach creates a real risk of significant harm, we will notify affected people and the regulators as the law requires.

How long we keep it

We keep personal information only as long as we need it, then delete or anonymize it.

  • Enquiries that do not become clients: 6 years from our last contact, to follow up on your quote and answer questions.
  • Client account, billing and transaction records: 6 years after the end of the tax year they relate to, to meet tax and business record requirements and handle disputes.
  • Analytics data (if you accepted cookies): as set in our Google settings, up to 14 months, to compare site use over time.
  • Marketing email consent: until you unsubscribe, to respect your choice.

Your rights

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you can ask to see the personal information we hold about you, ask us to correct it, and withdraw your consent, subject to legal or contractual limits. If you withdraw consent, we will explain what it means for any services we provide to you.

Quebec residents (Law 25)

You also have the right to:

  • ask us to delete your information, or stop sharing or indexing it
  • receive the information you gave us in a structured, commonly used format, or have it sent to another organization
  • be told if a decision about you is made only by automated processing (we do not currently make such decisions)

How to make a request. Email support@redhatprep.com with the subject "Privacy request." We may ask you to confirm your identity. We will respond within 30 days and tell you if we need more time.

Complaints. Please contact us first so we can try to fix the problem. You can also complain to the Office of the Privacy Commissioner of Canada, or, if you live in Quebec, to the Commission d'accès à l'information du Québec.
